Privacy for our tools

This page explains what happens to your information when you use the tools on this site and when you visit the site itself. It's written for people, not lawyers. If anything here is unclear, ask us.

Who we are

The tools and this site are run by A&J Computers Inc, 5200 Dallas Hwy STE 200 PMB 229, Powder Springs, GA 30127. You can reach us at 770-514-1640 or help@ajcomputers.com.

We build these tools for our clients, to help with work we're doing for them. We don't sell information, use it for advertising, or share it with anyone outside the services listed on this page.

PC Move Checkup

PC Move Checkup records how a PC is set up so we can set up its replacement the same way.

What it collects

  • The PC: computer name, make, model, serial number, processor, memory, disks, graphics and Windows version.
  • Accounts: the signed-in user's account name and type, whether it's an administrator, the names of other profiles on the PC, and whether the PC is joined to a company domain or Microsoft Entra ID.
  • Apps: the programs and Microsoft Store apps installed.
  • OneDrive and Outlook: connected OneDrive and SharePoint accounts and synced libraries, whether Desktop, Documents and Pictures are backed up and their size on the PC, and where Outlook data files (.pst) are and how big they are.
  • Drives, printers and network: mapped drive letters and the folders they point to; printer names, models and connections; network adapters, IP settings and the name of the Wi-Fi network in use.
  • On Windows Server only: installed server roles and whether they're running, shared folders and their paths, and Hyper-V virtual machine names, settings and disk locations.
  • Anything you type in: the optional name and company field.

What it never collects

Passwords, Wi-Fi keys, product keys, the contents of your files, your email, or your browser history and data. It doesn't read virtual machine notes on servers. It measures folders without opening files.

When information leaves your PC

Only when you press Send to A&J Computers, after the app has shown you everything it found. Until then, nothing leaves the PC. If you don't send it, we don't receive it.

The app also saves a copy of the report on your PC, in C:\ProgramData\AJComputers\Reports (or your Documents folder if that isn't available). That copy is yours. You can delete it at any time.

Where it goes

When you send it, the report is emailed over an encrypted connection from our Microsoft 365 account to the A&J Computers helpdesk, where it becomes a support ticket. The services that handle it on our behalf are:

  • Microsoft 365, for email; and
  • our helpdesk ticketing system, where our technicians work on your request.

If the app can't send and you email the saved files to us yourself, they travel through your own email provider as well.

What we use it for

To set up your new PC or server so it works the way you're used to, and to help you with problems after the move. Nothing else.

How long we keep it

We keep a report only as long as we need it to finish your move and support your new PC. After that we delete it, including the copies in our helpdesk and mailboxes.

Folder of Emails to PDF

Folder of Emails to PDF turns emails you have already saved as files into PDFs. It works entirely on your own PC and sends nothing to us. It makes no internet connection at all: no reporting, no usage tracking, not even a check for a newer version. Unless you choose to send us something yourself, we never see anything it produces.

What it reads

  • The emails you point it at: the .msg and .eml files in the folder you choose, and its subfolders if you ask for those. It doesn't open your mailbox, your .pst archives or any other folder.
  • Through programs already on your PC: .msg files are read by your own copy of classic Outlook, signed in as you. .eml files are read by the tool itself. Your own copy of Word turns both into PDFs.
  • To check it can run: before it starts, it looks at Windows' own records of which Office programs are installed and whether Outlook has an account set up. It reads those settings only, and starts nothing.

What it writes, and where

  • The PDFs, in the place you chose: beside each email, or in a folder you picked.
  • A log of each run, in %LOCALAPPDATA%\AJComputers\EmailToPdf\logs. It records what was converted, skipped or failed, which means it contains the emails' file names, and those are usually their subject lines. Logs older than 90 days are deleted automatically at the end of a run, and you can delete them yourself at any time.
  • A small settings file, in the same place, remembering the last folders you used so you don't have to browse to them again.

It doesn't change or delete the emails it reads, and it never overwrites a PDF that is already there unless you tick the box asking it to.

Pictures that emails load from the internet

Some emails don't contain their pictures; they fetch them from a website when the email is opened, which is how senders can tell that a message has been read. Those references are removed before the PDF is made, so converting an old email doesn't report back to whoever sent it. It's also why the tool can honestly say it makes no internet connection.

What we receive

Nothing, unless you send it to us. If you ask us for help with a run and email us a log, it reaches us through your own email provider and our Microsoft 365 account, and becomes a support ticket. Remember that the file names in it may be sensitive; you're welcome to remove lines first, or to call us instead.

How long we keep it

If you do send us a log, we keep it only as long as it takes to sort out the problem, then delete it, including the copies in our helpdesk and mailboxes. The PDFs, logs and settings on your PC are yours, and stay there until you remove them.

This website

  • No cookies, analytics or tracking. The site doesn't set cookies, and it doesn't load fonts, scripts or anything else from other companies.
  • Server logs. Like almost every website, our web server records basic details of each request, such as IP address, time, page requested and browser type. We use them to keep the site secure and working.
  • Not in search engines. We ask search engines not to list these pages. We share links with clients directly.
  • Links to our main site (ajcomputers.com), for example the contact page, are covered by that site's own privacy policy.

Your choices

  • You can review the results and close the app without sending anything.
  • Folder of Emails to PDF never sends anything at all. You can delete its logs and settings whenever you like, from %LOCALAPPDATA%\AJComputers\EmailToPdf.
  • You can ask what we hold from a report you sent, or ask us to delete it sooner. Call 770-514-1640 or email help@ajcomputers.com.
  • If you'd rather not run a tool yourself, a technician can do the same job with you.

Changes and questions

When we add a tool, or change what a tool collects, we'll update this page and the date at the top. Each tool's own page also lists what it checks.
